Can I transfer money from one trip to another?

Unfortunately, not. DDT uses different vendors for different destinations. Each one is its own system with its own rules, contracts, and accounting methods. They do not share payments or money...AND ONCE WE PAY THEM--THEY MAINTAIN THE FUNDS--WE NO LONGER HAVE ACCESS TO THEM. Remember; each vendor has different venue expertise--and we select the ones which give us the best rates and experience(s) for our trips (that’s why it’s best to protect your trip with Travel Insurance). Each vendor handles their own payments. That means:

  • You cannot move money from one trip to another.
  • You cannot transfer a balance between vendors.
  • You cannot apply/split one deposit to different destinations. They need to be separated.
  • You cannot give/transfer your deposit to another person. It’s not a DDT rule. It’s how these companies contractually operate. Once funds are paid to a vendor, they stay in that vendor’s system, and we can’t get it back for you.

Is travel insurance included in my rate?

No. We cannot force you to purchase travel insurance. BUT, WE ALWAYS HIGHLY RECOMMEND/IMPLORE YOU TO BUY TRIP PROTECTION—EVEN IF IT’S NOT FROM US. Keep in mind, in travel, there are three things no one can control: 1) Natural disasters (i.e., earthquakes, Hurricanes) 2) Epidemics (i.e. Covid, Sars) and 3) Political unrest (i.e., riots and Wars). There are also sickness, death, and family emergencies. You should always get trip protection to guard you from the unexpected.

As for DDT trips, should anything change that affects ANY of our itineraries, you will hear from us immediately. To get Travel Insurance, just go to our website on the lower part of the registration form and hit the link for IMG. If something unexpected pops up, that policy protects your investment far better than trying to shift payments between completely separate companies.

Does DDT book airfare?

DDT typically DOES NOT book airfare for our trips—and here’s why:

  1. Flight prices are based on AVAILABILITY at that moment. The moment we lock in a group rate, we’re locked in. If prices go up, that’s a win. But if they drop, complaints roll in. We prefer to avoid that rollercoaster altogether.
  2. You may be able to get a better deal using your own points or rewards. Many of our traveler’s leverage airline miles and credit card perks to save significantly—and we want you to have that flexibility.
  3. Booking on your own gives you more control and convenience. Oftentimes, you can depart from your home airport instead of taking extra positioning flights to hubs like JFK—saving you additional time, money (an additional flight and possibly a hotel stay), and hassle.
  4. Our DDT family travels from all over the country. Getting the same rate from someone from NYC or Chicago is impossible for someone from a smaller region like South Carolina or Louisiana. That becomes a fairness issue.
  5. Lastly, if we book a flight and a car breaks down or a babysitter doesn’t show up, we’re usually on the flight with the rest of the group and unavailable to be contacted to help book another flight for you. It’s best to utilize the airline for assistance in these matters.

What payments do we accept?

NO PERSONAL CHECKS ACCEPTED. They will be Returned.

What happens if I make my payments, but my roommate(s) fail to pay? Or my roommate drops out and cancels their reservation.

All costs are based on the room occupancy configuration. If your roommate fails to pay or drops out, you will be responsible for finding a new roommate, or you may have to pay the additional cost for the room occupancy change (to single occupancy). This is another reason to purchase Travel Insurance to protect you from this unexpected situation.

Do you provide roommate matching?

We do not guarantee roommate matching. We have been successful in the past with matching people who need roommates, but it’s not guaranteed.

We ask 3 basic questions: Are you a smoker? Are you a morning or late person? Age? We TRY to match according to these parameters if we can.

Can I make reservations on a trip after the payments have begun?

Yes, you can make reservations for any event/trip at any time as long as the trips are still open and there is availability. You’ll need to make the first deposit and then every month make monthly payments to catch up to the Layaway amount.

When will I receive the itinerary for my trip?

The Itinerary of each trip is posted on the DDT Website under the Vacations tab: https://DDTCSI.com

What are DDT’s hours of operation?

Mon – Fri: 9:00 AM – 5:00 PM
Closed on major holidays.

What are passport requirements?

Passports should be renewed 6 months prior to expiration.  Passports that expire within 6 months of the travel date may be denied travel privileges.

What is the cancellation policy?

DDTCSI has a cancellation policy for all trips. The cancellation policy includes a standard $200.00 administration fee. DDT uses a Payment Schedule (“Layaway Plan”) to help facilitate the payments and expenses of the trips. The DDT “Layaway” payment schedule(s) noted for each trip must be strictly followed in order to guarantee the package rates in effect when your deposit is made. The client agrees to be responsible for the layaway amount due at the time of cancellation. Failure to follow the established payment schedule may result in changes or increases to your package rate. Sending the registration form in and making a deposit confirms your acceptance of this policy. All rates are effective today and subject to change until a deposit is received.

Dancin’ Doug Travel (DDT) always recommends that you purchase Travel Insurance (even if it’s not through us) to safeguard your trip and secure your investment. Depending on the particular contract, there are usually fees and penalties involved with cancellation. DDT will assess those fees/penalties according to the particular contract/trip that you are on when resolving your cancellation request.

How do I cancel my trip?

ALL Cancellations must be done in writing, not telephonically or by text, to email: doug@ddtcsi.com. At that time, you can view and acknowledge all cancellation details from the DDT Cancellation Policy. The client agrees to be responsible for the layaway amount due at the time of cancellation. Once you acknowledge the cancellation terms and conditions, you can cancel your trip and a refund (if applicable) will be processed at that time.

How do I get a refund?

Once you notify DDT about your intent to cancel and acknowledge the terms and conditions of the cancellation of a trip, a refund (if applicable) will be processed to the original form of payment minus any penalties. The client agrees to be responsible for the layaway amount due at the time of cancellation.)

How do I purchase travel insurance?

Purchasing travel insurance is highly recommended. Basic trip protection is available through IMGlobal Travel Insurance. You can select a policy and coverage to suit your needs.

How can I join DDT as a travel agent?

What/where is the payment schedule?

What is DDT’s travel disclaimer/waiver?

DDT Contracting Services, Inc. (DDT-CSI), DBA Dancin’ Doug Travel, Inc. (DDT) Group, Dancin’ Doug’s Discount Travel, Incorporated, Dancin’ Doug LLC, DDT, or Douglas J. Colón, hereafter referred to as “Tour Operator,” and its affiliated entities and its employees, shareholders, officers, directors, successors, agents, and assigns, neither own nor operate any person or entity which is to, or does, provide goods or services for these trips or tours. Because “Tour Operator” does not maintain any control over the personnel, equipment, or operations of these suppliers, “Tour Operator” assumes no responsibility for, and cannot be held liable for any personal injury, death, property damage, or other loss, accident, delay, inconvenience, or irregularity which may be occasioned by reason of (1) any wrongful, negligent, willful, or unauthorized acts or omissions on the part of any of the tour suppliers or other employees or agents; (2) any defect in or failure of any vehicle, equipment, or instrument owned, operated, or otherwise controlled by any of these suppliers; or (3) any wrongful, willful, or negligent act or omission on any part of any other party not under the supervision or control of the operator.

DDT will not be responsible for any accidents involving bodily injury or death, property damage, charges of libel, slander, arrest, detention, or imprisonment incurred while traveling during an event sponsored and/or booked by Dancin’ Doug Travel (DDT). By sending the registration form in and making a deposit, you agree to not hold Dancin’ Doug Travel (or any other DDT entity) responsible for any errors or omissions relating to this event. We strongly recommend the purchase of Travel Insurance during your travels. DDT Policies

Cancellation Policy

Because we use different vendors for different trips, DDT utilizes a “Universal” cancellation policy. Our Policy supersedes—and is sometimes additional to--the individual vendor’s policies. Our groups are usually customized due to their larger size, so that determines our policy.

Here is our Cancellation Policy:

  • 300 days or more, prior to scheduled group arrival date, no PENALTY will be assessed.
  • 300-240 days prior to/up to group arrival date of trip: There will be a 25% Penalty of Total cost of room (all occupants).
  • 240-180 day prior to/up to group arrival date: There will be a 50% Penalty of Total cost of room.
  • 180-150 days prior to/up to group arrival date: There will be a 75% Penalty of Total cost of room
  • 150-120 days prior to/up to group arrival date: There will be a 100% Penalty (TOTAL COST OF ROOM).

THERE’S A STANDARD DDT ADMINISTRATIVE FEE OF $200 ADDED ONTO ALL HOTEL/VENDOR FEES AND CANCELLATIONS.

Layaway Plan (Monthly Payment) & Waitlist

DDT uses a “Layaway” Plan to afford our clients the flexibility of paying for their trips over time. You should make every effort to make payment every month. If you find yourself unable to make a payment, please send an email to: doug@ddtcsi.com to advise of the situation. With our new method of lower monthly payments, we’re implementing a new policy on layaway payments: If you fail to make payments for 60 days, without any communication to us, your reservations will automatically be waitlisted.

After 90 days, it will be put in inactive status. If you come back after that, you may have lost your slot/deposit. This enables the people who have tried to get on and are adamant about keeping up with the Layaway plans, to have an opportunity to travel. If you’re on the Waitlist, and you don’t get on the trip, your full deposit will be refunded without any penalty.

Tips

DDT collects $10 USD per day/per person for tips on each trip for the Tour conductor(s) and the driver(s). This is our standard policy. We collect the Tips on the first day upon arrival. Please have them in a separate envelope with your name(s).

Reservations:

A registration form alone DOES NOT secure your spot for a trip. Your slot is ONLY RESERVED when BOTH are received:

  • Completed Registration
  • Required Deposit

No deposit = no reservation. Period.

We operate strictly on a first-come, first-served basis (based on deposit).

So, if you’ve registered, but have NOT submitted your deposit, your spot is still at risk of being taken. So, get your deposit ASAP.

Important Registration Notice

When completing your registration, you must enter your name EXACTLY as it appears on your passport. That means: Full first, middle, and last name. Any middle names or initials, Suffixes (Jr., Sr., III, etc.)

If your registration does NOT match your passport, you may be charged a name change fee by us or by the vendor. We do not alter or verify entries— we copy and paste exactly what you submit, so accuracy is on you.

Bottom line: Double-check your passport information before submitting your registration. No shortcuts or nicknames.

Group Harmony:

To ensure the desired group synergy, DDT reserves the right to accept, reject or expel any individual who is deemed disruptive or incompatible with the interests of the group, including, but not limited to, individuals who are intoxicated and/or under the influence of drugs leading to a negative experience for the remainder of the group. Expenses, including cancellation fees and/or costs for alternate travel plans or return home, will necessarily be borne by the passenger. All unused services are non-refundable.
